Spencer Heating & Air is seeking a friendly, organized, and detail-oriented Customer Service Representative / Front Desk Administrator to join our team in Auburn, AL. As the first point of contact for our customers, you will play a key role in ensuring a positive experience from the initial call to service completion.

Key Responsibilities:

• Answer and direct incoming calls, scheduling service appointments and assisting customers with inquiries.
• Provide exceptional customer service by addressing concerns, following up on service calls, and ensuring customer satisfaction.
• Manage and update customer records, invoices, and work orders using our CRM system.
• Assist with daily administrative tasks, including filing, data entry, and office organization.
• Communicate with technicians to coordinate schedules and dispatch service calls efficiently.
• Process payments, handle billing inquiries, and assist with financing applications when necessary.
• Maintain a professional and welcoming front desk environment.

Qualifications:

• Previous experience in customer service, front desk reception, or administrative support preferred.
• Strong communication and interpersonal skills with a friendly, customer-focused attitude.
• Proficiency in Microsoft Office (Word, Excel, Outlook) and the ability to learn industry-specific software.
• Excellent organizational skills and attention to detail.
• Ability to multitask and prioritize in a fast-paced environment.
• HVAC industry experience is a plus but not required.
